Job Description
The Assistant to the Director of Facilities exists to ensure the efficient, professional, and proactive operation of the Judy Genshaft Honors College building. This position provides critical support in managing daily facilities operations, vendor coordination, security monitoring, student staff oversight, and event support. By handling essential operational tasks, the Assistant allows the Director of Facilities to focus on strategic leadership and campus-wide coordination efforts. This role safeguards the physical environment of the Honors College, ensuring that the building remains safe, accessible, clean, and welcoming to students, faculty, staff, and guests.
Responsibilities
- Administrative and Operational Support: Manage scheduling, reporting, work orders, vendor coordination, and card access updates.
- Facilities Monitoring and Vendor Coordination : Monitor building condition, support vendor management, track facility issues.
- Security Support and Incident Monitoring : Assist in documenting and escalating incidents, support camera directory maintenance.
- Student Staff Oversight and Facility Etiquette Enforcement : Monitor Honors Ambassadors for compliance with policies.
- Event and Emergency Support : Support event setups and emergency building operations.
- Other Duties as Assigned : Support all other operational needs as directed.
Qualifications
Minimum Qualifications:
- High school diploma or equivalent (GED).
- Two years of administrative, operations, or facilities support experience
Preferred Qualifications:
- Not required, but preferred fields of study include Facilities Management, Business Administration, Public Administration, Operations Management, Construction Management, Property Management, or Hospitality Management.
Special Skills or Training:
- The Assistant to the Director of Facilities must demonstrate strong organizational and administrative skills, with the ability to manage multiple priorities, maintain schedules, track work orders, and coordinate vendor activities.
- Knowledge of basic building systems (HVAC, plumbing, electrical), facility safety compliance, and security practices is essential.
- Proficiency in Microsoft Office (Word, Excel, Outlook, Teams) and work order platforms such as 25Live, TMA, or Monday.com is required.
- The role requires excellent communication skills, a commitment to providing outstanding customer service, and the ability to maintain confidentiality, exercise sound judgment, and model professionalism.
- Flexibility is critical, as the position demands responsiveness to operational needs, including covering building openings, closings, emergencies, and events as needed.
Work Environment:
- Primarily office and building-based work at the Judy Genshaft Honors College. Must be able to walk building spaces daily, escort vendors, and assist with occasional event setup.
- Flexibility required for building opening, closing, and emergency coverage as needed.
