Job Duties

  • . Coordinate and manage all student credentialing requirements for clinical rotation sites, including submission and verification of required documentation
  • . Ensure all required board certifications, professional licenses, and absence of encumbrances are verified for students and preceptors prior to the start of each rotation
  • . Confirm completion and documentation of Preceptor Handbook attestation for all participating preceptors
  • . Monitor and verify student rotation readiness prior to each clinical assignment, ensuring all institutional and site-specific requirements are met
  • . Maintain records of required drug screenings, background checks, immunizations, and compliance documentation through Exxat and related student management systems
  • . Manage clinical rotation scheduling processes, including Typhon confirmations for sites and student rotation schedules
  • . Coordinate Email Ready Scheduling communications for the Rotation Jumpstart process, ensuring students and sites receive timely placement information
  • . Maintain oversight of the clinical gap tracker to ensure students meet required clinical experiences across disciplines and settings
  • . Monitor completion of Preceptor Evaluation of Student (PES), Mid-Rotation Evaluation (MRE), and End-of-Rotation (EOR) evaluations, ensuring timely submission and documentation
  • . Track evaluation completion and follow up with students and preceptors when documentation is incomplete
  • . Maintain accurate data within clinical management systems, including Typhon and Exxat, ensuring records of placements, evaluations, and student compliance remain current
  • . Track and document clinical experience gaps, entering data into the program gap tracker and notifying appropriate faculty of potential deficiencies
  • . Identify students with potential clinical experience deficiencies or evaluation concerns, and notify appropriate faculty to initiate remediation processes or academic support
  • . Serve as the primary administrative contact for clinical site communication, scheduling coordination, and student placement logistics
  • . Support the Clinical Education Team by maintaining organized documentation and assisting with reporting requirements for accreditation and program evaluation
  • . Coordinate and manage all travel and reimbursement for clinical phase faculty
