The Operations & Facilities Coordinator, in conjunction with the entire Operations team, has primary responsibility for management and oversight of the physical spaces of the Batten School, including overflow, rental, or temporary spaces. The Operations & Facilities Coordinator will serve as the first point of contact with UVA facilities management. They will oversee the work order submission and tracking process as well as triage and respond to internal service tickets. The Operations & Facilities Coordinator is supported by a robust team of student employees. They will have a secondary role supporting school-wide events and functions. This is an in-person position that is “designated”, and a physical presence may be required even when regular University operations are suspended. It requires a customer-service orientation and a high level of personal tact and diplomacy.
Additional responsibilities include:
- Develop systems and processes necessary for the definition, planning, execution, monitoring, and control of facility management.
- Attend meetings for ongoing and prospective maintenance. Arrange, manage, and maintain relevant relationships.
- Analyze short-term and long-term resource needs and adjust staffing and resources appropriately.
- Ensure completion of deliverables and adherence to timelines, track milestones and timelines, and institute necessary workflow, personnel, and financial resource allocations.
- Collaboratively support school event planning and execution.
- Analyze and resolve issues that have the potential to jeopardize school operations.
- Proactively identify changes in scope and ensure appropriate planning measures are taken with in ternal and external clients to reassess, renegotiate, and amend scope of work responsibilities, proposals, contracts, and budgets.
- Ensure facilities are equipped with emergency supplies.
- Engage in communication and change management in relation to facility management.
- In addition to the above job responsibilities, other duties may be assigned.
MINIMUM REQUIREMENTS:
- Education: Bachelors Degree required.
- Experience: 3+ years of relevant professional experience required.
