Transportation & Parking Services (TPS)
is part of Housing, Dining, and Auxiliary Enterprises (HDAE). TPS is an innovative and self-sustaining department that supports the UCSB
mission by providing safe and reliable parking, fleet services and transportation alternatives to our campus community. TPS manages over
9,500 parking spaces and over 400 vehicles. TPS coordinates inbound and outbound traffic planning for all major campus
events.

Brief Summary of Job Duties:

Under supervision of the Garage
Supervisor, performs as UCSB fleet vehicle service advisor. Duties include contacting fleet operators, scheduling service appointments,
greeting arriving operators (both scheduled and “drive in”), providing loaner vehicles and opening work orders. Performs research on
vehicle’s maintenance history to determine necessary services required. Provides repair and upfit estimates as necessary. Performs driving
duties as assigned. Purchases, receives and inventories parts and materials required for maintenance and repair of vehicles. Posts to
appropriate work orders. Maintains clean and orderly stockroom, with inventory at desired levels. At the direction of the Fleet Manager,
assists with analysis of fleet utilization and work order data for preparation of Income and Recharge Proposal and determining appropriate
vehicle replacement schedules. At the direction of Garage Supervisor, enters vehicle purchase orders in Gateway after conferring with campus
departments to determine appropriate vehicle specifications and any requirements for upfitting or accessories, obtaining quotes from
approved sources, and obtaining required campus approvals. Processes disposal of retired vehicles.

Required
Qualifications:

  • 1-3 years Administrative or operational support experience, preferably in fleet management or automotive

Preferred Qualifications:Special Conditions of Employment:

  • Required to hold a valid driver’s license, have a driving record
    that is in accordance with local policies and procedures, and/or enroll in the California Employer Pull Notice
    Program.
  • Responsibility for operating commercial vehicles, machinery or toxic systems that could cause accidental death, injury or
    health problems.
  • Satisfactory criminal history background check.
  • UCSB is a tobacco free
    environment.

Misconduct Disclosure Requirement:

As a condition of employment, the final candidate who

Job Functions and
Percentages of Time:

  • 50% Service Advisor – In collaboration with Garage Supervisor, contacts vehicle
    operators to schedule vehicle service (PM service, smog testing, recalls, follow-up repairs, body damage repairs, etc.) either in garage or
    at remote location, and posts appointments to the Service Appointment Calendar. Greets fleet operators and campus personnel needing
    services. Determines need for immediate attention or schedule for future date. Provides loaner vehicles, if necessary, utilizing a
    loaner-vehicle management system. Opens work orders in TMS (Fleet Management System). In collaboration with Garage Supervisor, updates Tech
    Scheduler assignment system. Researches vehicle’s maintenance history and manufacturer’s recommendations to determine necessary services and
    adds to work order. Determines need for smog testing and adds to work order, if required. Provides repair and upfit estimates as necessary.
    Contacts vehicle operators upon completion of service. Processes vehicle recalls by scheduling with appropriate dealer and vehicle operator,
    and posts appointments to Service Appointment Calendar. Provides vehicle shuttling to/from campus and outside vendors. Consults with the
    Garage Supervisor when necessary. Answers incoming phone calls.
  • 25% Materials Administration – Obtains
    and maintains FlexCard credit card for materials purchasing. Orders parts and materials as requested by technicians and communicates any
    delays or updates. Receives parts, scans receiving documents into Gateway purchasing system. Posts parts and materials to appropriate work
    order in TMS. Returns incorrect or unused parts to vendors, with appropriate documentation. Maintains inventory system by tracking received
    and issued materials. Monitors and orders parts as necessary to maintain desired inventory levels. Maintains stockroom in clean and orderly
    fashion.
  • 20% Fleet Administration – In collaboration with Fleet Manager, assists with analysis of fleet
    utilization and work order data for preparation of Income and Recharge Proposal and determining appropriate vehicle replacement schedules.
    In collaboration with Garage Supervisor, confers with campus departments to determine appropriate vehicle specifications and any
    requirements for upfitting or accessories. In collaboration with Garage Supervisor, obtains quotes from Enterprise Fleet, NAFG or State
    Contract vendor. Obtains signed vehicle purchase agreements from requesting departments. Determines vehicle ID numbers in TMS. Prepares
    Working Capital fund requests, if necessary, and routes for appropriate signatures via DocuSign. Enters purchase order requests into
    Gateway, with appropriate documentation. Notifies the vendor when purchase order in Gateway is complete. Determines appropriate vehicle
    door-decal language from requesting departments and orders from vendor. Opens PM work order and enters vehicle data in TMS upon receipt of
    vehicles. Requests technicians to install vehicle property numbers, ID numbers and door decals. Tags and places spare keys in the key
    cabinet in the stockroom. Prepares online Insurance Adjustment Addition forms and emails to Risk Management. Provides Fleet Manager with all
    purchase orders and vehicle documentation.
  • 5% Other – Daily-rental dispatch, as required. Processes DMV
    Pull-Program notices, as required. Vehicle rental preparation and return check-in, as required. Other duties as
    assigned.
